During the call
The receptionist listens and replies in real time. No audio is saved: the call isn't recorded.
Straight after the call
The words of the call are written down as a transcript. Card numbers, dates of birth and health details are removed from it before anything is stored or emailed.
Your summary email
We use the transcript to write you a short email: who called, the best number to ring back, what it's about and what happened. The email never contains the full transcript.
Then it's deleted
Once your email has gone, the transcript is deleted, from our system and from our voice provider's. What remains is a record of the outcome, such as "put through" or "details taken", without the caller's name or number.
Who handles the call
Telnyx provides the phone line, ElevenLabs the voice, Google's Gemini reads the text to understand and summarise it, and Microsoft 365 sends the email.
What other services do
Some call-answering services and phone systems record every call by default and keep recordings for months. If you use one, check its settings and tell callers.
